A food wholesaler from Gdańsk faced the risk of a high penalty for errors in the BDO system. We helped them straighten out the waste documentation before the office knocked on the door.

The challenge

Bałtycka Hurtownia Spożywcza misclassified packaging waste for 14 months. A new warehouse employee did not know that corrugated cardboard and stretch foil require separate entries in the registry. In January 2024, during a preliminary review of documents, we discovered that the company showed 34 tons less waste than actually collected by removal companies. Such a discrepancy is a straight road to a fine of PLN 12,400, especially with announced inspections in the Pomeranian region.

Our approach

We started by physically checking waste disposal invoices from the entire past year. Our consultant, Marek, spent 3 days in the wholesaler's office, comparing weight slips with entries in the digital system. We speak plainly: the mess in the papers was large. Instead of writing bulky reports, we prepared a list of 17 specific corrections that needed to be entered into the database. We acted quickly to be in time before the end of the reporting quarter.

The solution

We prepared a complete application for correction of entries in BDO and a letter of so-called 'active repentance' to the Marshal's Office. Documentation was ready in 9 business days. We explained to the officials that the error resulted from a technical mistake, not from a desire to hide costs. Additionally, we trained 2 warehouse employees on weighing and terminal operation so that every ton of waste was immediately assigned to the correct code in the table.

The financial penalty was avoided, and the company now has a fully clean record in environmental registries.
